What audio formats can you receive?^

We can handle most any digital audio (MP3, WAV, WMA, DSS, DVF, OGG, DCT) & video formats (AVI, WMV, MP4, Real Media, Quick Time). If you give us an audio/video format that's not listed here, we've never heard of, or haven't done before, or our equipment doesn't recognize – don't worry, we'll figure it out! We are super resourceful and can find a way to convert ANY file and get it transcribed for you, no problem.

How big of a project can you handle?^

Because we've got the world's best staff and transcriptionists, we can take on virtually any size project. Our team loves a challenge! If you have a high volume project or specific needs, just give us a call or send us an email.

Do you use voice recognition software or real people?^

No matter what Hollywood wants you to believe… Robots can't do everything! They sure can do a lot, they can make French fries, fly airplanes, diffuse bombs, and save the world… but they can't do transcription!

Voice recognition software still has a long way to go to be able to transcribe audio, so yes, we have real live humans listening to your recordings and typing their little fingers to the bone.

Transcription is not just about phonetics. A robot can hear sound but can't comprehend that sound in context. For example, Clindesse® and Clindets® sound exactly the same to voice recognition. But when a real person is listening and transcribing, they would know that both medications are made of Clindamycin -- but that Clindesse® is a vaginal cream for bacterial vaginosis, and Clindets® is an antibiotic swab used for acne, and they would know which word to choose for the transcript context. Show me a robot that can do that and you've got a Hollywood Blockbuster on your hands!

How accurate are you?^

Everybody boasts that they are 98% accurate, 99%+ accuracy, 99.5% accurate, 99.8% -- but what does that really mean to you? Simply put, we know what we're doing! We are educated and trained professionals and we know how to hear and comprehend things that you can't.

But now obviously, accuracy is dependent upon the quality of audio. A good rule of thumb to judge by – if you can hear voices, but people are interrupting each other, background noise is getting in the way and you can't really understand some words the people on the recording are saying, chances are we do! But if you have no idea what accent the person is, what language they are speaking, if it is a human voice or a dog barking, etc., then chances are we won't be able to tell either. Give us good audio – we'll give you perfection! We love good quality audio!

Is my confidential information safe?^

Of course! We operate under the highest standards of confidentiality and privacy in our business ethics. We believe that our contact with customers is a privilege and we take that seriously. All of our transcriptionists are required to sign legally binding Confidentiality Agreements and Non-Disclosure Agreements and we would be happy to provide you with those. You can be guaranteed that all audio materials will not be shared with any third party. It is against our privacy policy to do so. For Medical Transcription we are fully HIPAA compliant with stringent adherence policies.

Do you outsource your work to other countries?^

We sure don't. A lot of companies say they are USA-based, but that just means they have a home office in the USA and all their workers are in other countries. We are 100% USA BASED AND 100% USA OPERATED. We don't outsource any of our work overseas and our transcriptionists are all native English speakers. In fact, we don't even outsource outside of Brevard County, Florida for that matter. We know all of our transcriptionists personally, we see them every day. We haven't set up "virtual relationships" and networks with a bunch of strangers over the internet claiming to have skills as transcriptionists that want us to trust their work. We can trust our transcriptionists because we know them and know their skills.

How do I pay for the transcription?^

General Transcription

Because transcription services are so time consuming and a lot of effort goes into providing you with a flawless transcript, we require payment in advance for services. We guarantee satisfaction or we will redo your transcript until you are satisfied. We also are willing to bill/invoice clients that use us on an ongoing basis.

Medical Transcription

If you're using our 1-800 digital dictation service, an initial set up fee will be assessed at the time of contract. Then you will be billed once a month and be given a detailed log of line counts along with your invoice.

Legal Transcription

Since there is no way to judge how many pages the transcript will be until complete, we will give you an estimate and will require a 70% deposit up front before beginning the project. The balance will be due when you receive your final transcript (or a refund given for overpayment if applicable). We are also willing to bill/invoice clients that use us on an ongoing basis.

Is your digital dictation method HIPAA compliant?^

Those considering the use of digital medical dictation have probably heard about HIPAA and the more recent HITECH Act. Protected Health Information (PHI), according to HITECH and HIPAA definitions, should be transferred and stored with encryption. Our entire process meets the HITECH and HIPAA standards including firewalls and encryption while we store the data as well as training and policies for the people who support you. All communications are safeguarded in the same manner for the utmost confidentiality.

How do I get started?^

Simply email your audio file as an attachment along with your contact information and any pertinent information you may have regarding formatting, speakers' names, special instructions, etc. EMAIL FILE NOW!
